We are looking for an organised, proactive and enthusiastic Events and Visits Officer to join our Chancery section.

Reporting to the Head of Communications and Engagement, you will play a central role in coordinating a dynamic programme of high-profile events and VIP visits that support the Embassy's objectives across foreign policy, security, defence, trade, energy transition, climate and culture.

From coordinating ministerial and royal visits to supporting major Embassy events, including our flagship King's Birthday Party, this role offers a unique opportunity to contribute directly to strengthening the UK-Norway relationship through impactful engagement.

This is a fast-paced and rewarding position for someone who enjoys managing multiple priorities, building strong working relationships and delivering complex activities to consistently high standard.

Role and Responsibilities:

As Event and Visits Officer, you will:

  • Act as the central coordination point for Embassy events and visits, maintaining oversight of the engagement calendar and ensuring accurate record keeping;

  • Provide administrative and logistical support for a busy programme of Embassy events and engagement activities;

  • Assist with the organisation of high-profile visits to Norway by members of the Royal Family, UK Ministers, senior officials, parliamentary delegations and other VIPs;

  • Support the planning and delivering of major Embassy events, including developing concept notes, drafting invitations, maintaining stakeholder contact lists, and coordinating transport and accommodation plans;

  • Manage ad hoc projects and coordinate collaboration across Embassy teams and the wider Europe network;

  • Work closely with policy teams to design and deliver events and activities funded through the Europe Delivery Programme, ensuring all administration, monitoring, evaluation and payments are completed on time;

  • Capture lessons learned from events and visits, helping to improve future delivery and maintain best practice guidance;

  • Support the re-establishment of the Chevening Europe scheme;

  • Contribute to wider Communications and Engagement team priorities and provide flexible support during periods of peak demand or staff absence.

Essential qualifications, skills and experience  

Our ideal candidate shows:

  • Excellent English language skills (both written and spoken, minimum of C1 level for CEFR framework*);

  • At least 1 year Experience organising events, visits, conferences, hospitality or stakeholder engagement activities;

  • Excellent organisational skills with the ability to manage multiple tasks and deadlines simultaneously;

  • Strong attention to detail and commitment to delivering high-quality outcomes;

  • Excellent interpersonal and relationship-building skills;

  • Ability to work independently and use initiative while contributing effectively to a team;

  • Good IT and administrative skills, including Microsoft Office applications.

Desirable qualifications, skills and experience  

Nice to have:

  • Experience working in an embassy, international organisation, or public sector organisation;

  • Experience supporting VIP visits or protocol activity;

  • Knowledge of Norwegian language is an advantage.

The successful candidate will be subject to professional background check, security clearance and 6 months probationary period.

The successful candidate must have pre-existing work authorisation for the Norway in order to apply.
