Summary
The Motor Pool Supervisor plans, directs, and monitors the use and maintenance of motor vehicles providing efficient and safe transportation to post personnel and official visitors. The position directly supervises three chauffeurs including ensuring property training and equitable assignment of chauffeurs' responsibilities.
Major Duties
Fleet Management 80%
Manages the Motor Pool with a fleet of 20 vehicles worth $1,000,000.
Supervises three (3) chauffeurs including daily scheduling and performance evaluation.
Continuously assesses Motor Pool operations, streamlining processes and ensuring compliance with all Department of State regulations and the Mission's Motor Vehicle Policy.
Tracks all trip tickets, fuel usage, maintenance tickets in the Fleet Management Information System (FMIS).
Reviews available online operational data such as the Analytics Fleet Digest in order to compile post reporting such as the annual inventory, vehicle allocation methodology (VAM), vehicle-level data, or target fleet size.
Oversees the management of official and mission-sponsored trips, ensuring Motor Pool has enough resources to cover all the needs, and Chauffeurs have proper travel orders in place as required.
Coordinates the shipping and delivery of new vehicles.
Prepares vehicles for disposal in accordance with the vehicle replacement program requirements.
Procurement of Contract Services 20%
Initiates the procurement of all vehicle maintenance and repair services, developing scopes of work and monitoring contractor performance.
REQUIREMENTS:
EXPERIENCE: Nonsupervisory: Minimum four years of experience in the field of logistics, management, or transportation is required.
EXPERIENCE: Supervisory: Minimum one year of supervisory experience included as part of the total four years' experience.
JOB KNOWLEDGE:
Knowledge of motor vehicle practices, traffic laws, vehicle licensing, registration and procedures.
Knowledge of navigating streets, traffic patterns, and commonly visited locations.
Knowledge of vehicle maintenance and budget planning.
SKILLS AND ABILITIES:
Must have professional writing, negotiation, and customer service skills, and demonstrate sound judgement and strong organizational abilities. Must be able to communicate knowledge of transportation matters to the General Services Office (GSO). Good working computer skills using MS Office (Word, Excel, PowerPoint, Outlook)
EDUCATION: Completion of secondary school (high school diploma received)
DRIVER'S LICENSE: Must have a valid Category B license (Had for a minimum 5 years and you are at least 25 years old)
LANGUAGE: English (reading, writing, speaking) Good working knowledge. ***ENGLISH REQUIREMENTS - English can be documented with scores from upper secondary school or university or exam or with a valid testing score.
Selected candidates must be able to obtain and hold a security certificate.
All selected candidates will be subject to a background investigation and may be subject to a pre-employment medical exam.
Selected candidate must be able to begin working within a reasonable period of time upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.
