The Office Support role is a vital role serving as a resource to all employees within the office. It is primarily administrative but does coordinate building-related tasks such as maintenance orders, parking, etc. This role is a primary facilitator of Onyx Cultural Connection events/initiatives. It`s a 40 % position, working at the office Tuesday and Thursday.


Desired competence:

  • Administrative Vocational Training, High Schol diploma or GED or equivalent. 
  • Working knowledge and ability to operate MS Office suite of products.
  • Receptionist or similar will be valued.
  • Fluent in English, Norwegian (for Norway office)
  • Good verbal and written communication skills
  • Detail oriented.
  • Structured and reliable work approach
  • Quick comprehension, initiative, and teamwork


Responsibilities:

  • Reception of all incoming calls, fax and incoming letters/packages.
  • Provide support to visitors to the office.
  • Coordinate office Community Connections events,
  • Maintain supply inventory for office. Reconcile invoices.
  • Serve as liaison between Onyx and building facilities.
  • Management of correspondence material.
  • Intake and distribution of bills, invoices, etc.
  • Coordinate with HR and IT procedures checking for office opening and closing when needed.
  • Track gifts and Merchandising products delivered to employees in contact with the courier provider.
  • Coordinate parking arrangements.
  • In collaboration with the Travel Agency, make all travel arrangements according to the Company Policy.
  • Planning/support for People & Culture initiatives at the office.
  • Assisting H&S administrative related tasks.
