Location: Oslo

Responsible to: Executive Director 

Working Hours: 80% (can be 4 days a week, or reduced hours 5 days a week)

Contract: One-year initial contract, with possibility for extension subject to performance. 3 month probation period, 6 week notice.

The Role: TMT is a growing organisation, and there is a need to change and expand the accounting, administrative and general management capacity. The organisation is therefore seeking a motivated individual to take on the diverse role of Accounting and Administrative Executive, with a portfolio of responsibilities as described below.

It is important to note that due to the international nature of our operations, TMT’s working language is English.

Responsibility for the organisation’s accounts will be a primary responsibility. At present our accounting system is Visma Business, but we are planning to change to a new system as of 1st January 2021. We are very much a project based organization and in addition to accounting in various currencies, the accounting function must in future also assist management in various administrative tasks in relation to the follow up of donors and administration in relation to the projects, and reporting to the TMT Board.

The role will also require support to broader organisational management areas, including office management, assisting the implementation of the HR policy including leave and timesheet management, and budget forecasting.

The Accounting and Administrative Executive will be based in the Oslo head office, will be responsible to the Executive Director, and will work in close cooperation with the current part time Controller.

Main Responsibilities and Activities:

·      Salary

·      Scanning of incoming invoices

·      General bookkeeping

·      Reconciliations

·      Banking and accounting in different currencies

·      Assist HR management, including timesheet, leave, insurance etc. management

·      Assist in budget forecasting and management

·      Assist funder management and reporting

·      Assist Board reporting

·      Oslo office management, support management of international offices

·      Support other project implementation processes, such as travel booking etc.

Key Requirements:

·      At least 2 years of accounting education

·      At least 3 years of relevant work experience

·      Excellent communication skills in English and Norwegian both oral and written

·      Good understanding of internal control procedures

·      Good understanding of activity-based accounting

·      Good understanding of project accounting

·      Good understanding of budget forecasting and management

·      Understanding and experience of HR policy and implementation

Stiftelsen Trygg Mat Tracking (TMT) was established in 2013 to contribute to the reduction of illegal fisheries internationally. TMT collaborates with and provides intelligence and analytical capacity to governments and international organisations, in support of fisheries enforcement actions and broader improvements in fisheries governance. We work with governments and organisations worldwide, but particular focus is on illegal fishing in African waters and supporting monitoring, control and surveillance (MCS) capacity in African coastal States.
The organisation’s head office is in Oslo, with a total of 9 staff also based in Bergen, London (UK), Tema (Ghana) and Hong Kong.
