Leger Uten Grenser (MSF Norway) is looking for an Assistant to the Association Coordinator and Board Secretary for a permanent 50% position.  The work will be based in the Oslo office and would start as soon as possible, ideally in January 2020. 

About the job

The Association Coordinator and Board Secretary and their Assistant's purpose is to promote the associative spirit within MSF, supporting a healthy governance to our Association. The Association Coordination team provides the Association members with means to engage in an active associative life, providing institutional memory and organising events, especially the annual General Assembly and the Annual Nordic Associative Gathering. The Association of MSF Norway has approximately 250 active members and is comprised of 1000 current and former field workers, office staff and office volunteers. The Association Coordination team works in a supportive capacity to the Board of Directors and the Association. An important part of the assignment is to actively support the logistic and administrative aspects of the preparation and implementation of the Nordic General Assembly and the Nordic Associative Gathering. The Assistant will be working closely with the Association Coordinator to plan and facilitate these two two-day events and should therefore be able to multi-task, take initiatives and demonstrate strong logistical and organizational skills. Another part of the job is to assist in all phases of the preparation and execution of the Board Meetings, including creating agenda, taking minutes, gathering preparation documents and filing to ensure proper retention of institutional memory. The assistant should have strong administrational and logical skills, and competence in the MSF tool InsideOCB are an added value. All communications with the Association are carried out in English, and you must be fluent in both spoken and written English. The working languages in the office are both Norwegian and English, though Norwegian is not a requirement. The Association Assistant will also assist in managing the internal member website and membership database administration, updating information, running reports, and cross checking data (proficiency in Excel with sorting, filters and some formulas is necessary). This also includes managing and posting documents and information on the internal member website, as well as updating it and assisting in planning and editing web streaming of events. Video editing skills is a bonus, although not compulsory. The Assistant will also help in managing the Association intern and work in a team on association matters.  

Main tasks are to support the Association Coordinator by:
Administrative preparation prior to and during the Nordic General Assembly (in May) and the Nordic Associative Gathering (in November)
Assist with the MSF Operational Center of Brussels Gathering (June) registration and planning
Build board meetings agendas with President and General Director and take minutes of board meeting
Hold associative debriefs with field workers returning from the field
Collect content and contribute to build the Association newsletter monthly
Assist and plan other Associative events
Maintain and create Associative web sites content
Assist or replace the Association Coordinator and Board Secretary when need arises
Provide support to other departments when needed

Qualifications

Demonstrated excellent writing skills in English, attention to details and proofreading ability

Above average computer literacy (excel, database), some basic programming and video editing an asset. 

Personal characteristics

Previous MSF experience is desirable
Interest in and commitment to MSF's humanitarian principles and associative structure
Strong organizational skills, multi-tasking ability and flexibility with changing priorities
Takes initiative and communicates pending issues with Association Coordinator
Able to work independently and with limited supervision on multiple tasks
Flexibility with hours and days of work (board meetings and associative events are held outside regular office hours)
Being very structured and organized, skilled at archiving and following protocol
Thriving in a fast-paced environment
