We are looking for an Administrative Coordinator to strengthen our Administration department in Oslo. As an Administrative Coordinator you will have an integral role in our exciting projects. 

About the position
We are looking for an Administrative Coordinator with strong organizational skills, attention to detail and the ability to multitask effectively. This position is essential for the smooth functioning of Aibel’s projects and often serves as the backbone of our operations.

Responsibilities and tasks include

  • Correspondence repository work towards Client, subcontractors, partners and others
  • Proof-reading (English and Norwegian)
  • Communication with project members in various Aibel locations
  • Communication with Client, contracts and subcontractors
  • Project manning in internal resource planning program
  • Coordination of requests of request for project personnel (onboarding) and project seating charts
  • Arranging kick offs, milestone celebrations and other project related events 

Qualifications

  • Completion of upper secondary school
  • 3-5 years experience from similar work
  • Preferably experience with working in mulit-lingual companies
  • Experience from project work
  • Proficient in Office 365 (Teams, Sharepoint, Word, etc), Adobe, other systems?
  • Good communication skils in English and Norwegian, both written and spoken

  • Structured, accurate and systematic
  • Excellent organizational skills with attention to detail
  • Strong interpersonal and communication skills
  • Ability to organize and coordinate multiple tasks and priorities in parallel in a fast-paced environment
  • Positive, service-minded and flexible
