Expedition Coordinator

Duties and responsibilities

The Expedition Coordinator's main function is the administration of the expedition elements on board. This includes compiling the daily program, booking activities and third-party excursions, liaison with suppliers for guests transfers to and from the ship.

Tasks and responsibilities shall include, but are not limited to:

• Primary Expedition front desk representative, managing desk responsibilities for team members appointed to assist the EC.
• The Expedition Coordinator has the responsibility for the daily management of the information flow to guests on board, including via the app, on screens and paper such as the daily program, activities, excursion opportunities etc. Decisions are made in concert with the EL and Assistant Expedition Leader (AEL).
• As one of the three leaders in the Expedition Team (EL, AEL & EC), EC occasionally stands in for the EL or AEL.
• Distribute relevant information material before the voyage starts.
• Organize Boat groups, Excursion lists and coordinate with excursion suppliers.
• Work closely with the Hotel Manager to coordinate the logistical operation at the Tender Pit during landing and cruising.
• Book or cancel landing slots in the IAATO and AECO scheduling systems, following ELs instructions.
• Assist on landings/cruising if required by EL/AEL.
• Responsible for the on board announcements related to the Educational Program & Expedition.
• Responsible for communicating to guests regarding flight arrangements and post cruise programs.
• Responsible for liaison with GSA (General Sales Agents) and Tour Group Leader.
• Responsible for liaison with Hurtigruten Expeditions Shore Excursion Department regarding planning, sales, execution and billing of 3rd party optional excursions.
• Responsible for writing, editing and distributing the onboard Daily program in cooperation with AEL (primarily) and EL for content.
• Assist with delivery of port presentations.
• Ensures that the Company’s relationship with the guests and a high level of service is maintained.
• Assist in providing a proper AECO and IAATO briefing and other applicable rules, regulations and guidelines.
• Inform the EL about all abnormalities, non-conformities or accidents.

Qualifications

• Undergraduate degree level in tourism or relevant work experience.
• The working language onboard is English and it is essential to speak and write fluent English (preferably applications should therefore be sent in English)
• Desirable to speak fluent German, French or a Scandinavian language
• Successful candidates will be required to obtain the following certificates prior to commencing.      work:
  • Health certificate for sea (Seafarer’s Medical)
  • Basic safety training (STCW)  
  • Crowd and crisis management (STCW)  
  • Security Awareness for Seafarers with Designated Security Duties (STCW)
