Do you have knowledge of offshore industry personnel requirements?

On behalf of our client we are looking for a candidate to enter an assignment as a scheduler/peronnel coordinator for a period of 4 months. The role is to cover for a paternity leave.

Job description:

• Ensures that company have available workshop and traveling personnel for all planned projects and has the oversight to make judgments concerning upcoming operational requirements based on timely information, and by use of manpower plan and similar tools,
• Optimizes personnel availability by coordinating time off and holiday periods for workshop and traveling personnel in conjunction with workshop supervisors and field operations supervisor, 
• Allocates qualified personnel to upcoming projects and keeps this updated according to latest project changes at all times in close collaboration with Project Manager and Supervisor, Field Services,
• Supports commercial services with traveling crew availability in relation to quote preparations;
• In conjunction with project manager(s) ) /field operations supervisor, identifies any shortcomings in personnel certifications, visas and other required papers for upcoming and ongoing projects,
• Responsible for ensuring all required certifications, visas and any other papers required for all operations,
• Keeps a track of all workshop and traveling personnel's certifications, visas, etc. validities and notify HR of upcoming renewal requirements by use of Dynamics and similar tools, to ensure all are updated and filed,
• Responsible for organizing accommodation, flights, transportation and project specific training for traveling crew
• Ensures flow of correct and timely information to traveling crew members regarding traveling details, changes and other requirements related to Visas, certifications etc
• Liaises with project manager(s)/field operations supervisor and Global mobility specialists regarding visa requirements and applications,
• Supports the continuous improvement of tools and systems used for personnel planning,
• Provides status reports to management and make recommendations to facilitate sound and effective decision making related to size of available workshop and traveling crew.

Skills & abilities:

• High school degree with at least 5 years' experience in an administrative role preferably in a services environment, 
• Strong IT skills in systems like Microsoft office suite, and ERP system(s) (Dynamics or similar),
• Excellent interpersonal skills and ability to envision long term perspective and needs,
• Team player, stress resilient, able to multitask and to take personal initiatives,
• Good communication skills in Norwegian and English, both written and oral. 
• Knowledge about offshore industry and offshore industry personnel requirements.
