We are currently recruiting a committed, enthusiastic and organized professional to join Vaccibody in Oslo. The role as Department & Management Assistant requires that you provide exceptional customer service as well as being in possession of excellent organizational skills! You will provide an administrative support service for two departments in addition to CMO and CTO.
Department & Management Assistant will play a key role in providing high quality support service.
You will be working for one of Scandinavia’s most exciting and forward-thinking biopharmaceutical companies. Your ability to work independently, a can-do attitude as well as excellent communication skills are essential to be a good fit for this role.
Details:
- A full time permanent position as a Department & Management assistant
- Working in an thriving international environment
- Location in Forskningsparken, Oslo close to public transport
- Hours of work 08.00-16.00, some flexibility is required
- Planned start date: during January-April
Responsibilities:
- Provide support and administrative assistance for two departments, CMO and CTO
- Planning and managing work diaries
- Inbox management, answering the telephone
- Dealing with supplies, shipments
- Coordinating and arranging meeting, events and travel logistics
- Prepare correspondence, making notes at meetings
- Document management process and administration
- Light accounting duties such as invoices (travel expenses)
- Administration work in general and contribute to make this more efficient
- Additional responsibilities may arise
Requirements:
- BSc degree or certificate (fagbrev) in economics – administrative studies
- Highly relevant experience may substitute for a degree
- At least 4 years previous administration experience from a similar role
- Excellent communication skills, speak and write English and Norwegian fluently
- Proficient in the use of MS Office (Outlook, Word, Excel and PowerPoint)
- Basic experience within financial management and tools/systems
Other qualifications:
- Ability to work independently and on own initiative
- Excellent organizational skills and time management skills
- Open minded, flexible and adaptable
- A general interest into technology
- Happy to take on extra responsibilities
- A can-do attitude
- Good relationship-building skills
- Able to maintain confidentiality
- Administration experience from a biopharmaceutical company/or similar would be an advantage
