We are looking for an Executive Coordinator to join our main office in Arendal. The Executive Coordinator will work at the core of the organization and will play a key role towards the Group Leadership Team, CEO and the Board of Directors.
For the right candidate this is a unique opportunity in a role with a vast variation in tasks.
Core responsibilities
- Plan and organize board and committee meetings worldwide as well as other major corporate events/meetings. Manage the whole process from the planning stage including research of venues, suppliers and contractors, negotiate prices and hire, right through to running the event and carrying out the post-event evaluation
- Prepare reports and organise meetings for the Group Leadership Team by collecting and analyzing information
- Prepare Powerpoint presentations
- Support the CEO managing day-to-day matters including calendar, travel and email management
- Point of contact and support the directors of the Board in connection with meetings
- Facilitating meetings and welcoming guests
- General administration duties
SKILLS & REQUIREMENTS
- Bachelor’s degree in a relevant field, such as event management, marketing or business
- Relevant experience from a similar role is required
- Proficient in all Microsoft Office programs
- Excellent interpersonal skills with a friendly, diplomatic and service-minded attitude
- Excellent organizational and coordination skills with an attention to details
- Negotiation skills when looking for the best price from venues, suppliers and contractors
- High degree of confidentiality and integrity with a strong business acumen
- Self-motivated, proactive and ability to work on own initiative
- Time-management skills and the ability to work under pressure to ensure the efficient running of an event
- High level of energy, enthusiasm and commitment
- Experience from working in a multi-national environment is an advantage
- Excellent command of both written and spoken English is required
The position will report to the Chief Legal Counsel.
