To our Norwegian head-office in Oslo we seek a new dedicated manager for service and project administration. The role is part of the shared service center for our Norwegian operations. The position reports to Operations Manager Norway and is part of the management team.        

Purpose of Position: Maximize Customer satisfaction via effective co-ordination of the call handling, resource planning, dispatching, helpdesk issues & invoice functions in Norway.

Our new Service & Project Admin Manager is dedicated to meet the expectations and requirements of internal and external customers. As manager you will get first hand customer information and use it for improvements in products and services.

It is required that you act with customers in mind, to establish and maintain effective relationships with customers, through this you will gain their trust and respect. The role requires solid skills in organizing and planning in order to meet target KPIs.

Key Responsibilities: Ensure that all operations under the control of this position conform to the Norwegian Working Environment Act (Arbeidsmiljøloven) and the current HSE policy in place for the region - including risk assessment, mitigation, HSE KPI reporting and active identification of areas to improve.

  • Ensure all direct reports are adequately trained in relevant HSE issues for their positions to maintain a safe working environment
  • Conduct field audits for service team and subcontractors to ensure HSE compliance and focus on quality and efficiency & cost
  • Drive performance management process for all associates in your team ensuring frequent, timely, and collaborative reviews throughout the year
  • Effective management and development of the Service & Project Admin team 
  • Effective handling of calls and dispatching of jobs via team using solid processes
  • Effective handling of invoices for Service & project departments to customers
  • Build and maintain Standard Work in the spirit of continuous improvement (FBS)
  • Maintenance of effective KPIs for measurement of customer satisfaction
  • Resolve customer queries in effective and efficient manner.
  • Relevant communication with associates in the team
  • Commitment to FBS tools and continuous improvement in the delivery of key KPIs
  • Effective resource planning based on project & service need

 

Personal qualities, qualifications & experience

Education / achievements:

  • Required: High school education and with a Technical Degree
  • Preferred: Skills and qualification in leadership, management and customer service

Experience and knowledge

  • Required: Experience with customer service, minimum level in computer literacy and 2+ years of experience in Project Management
  • Preferred: Experience with IFS IT system, fuel & retail  and service business

Specific skills

  • Required: Strong analytical skills, management experience, solid written and verbal Swedish or Norwegian as well as strong English skills

As Service & Project Admin Manager you use rigorous logic and Problem Solving Process (PSP) tools, to analyze and solve high-priority problems in order to ensure countermeasures are process based.
