We are currently seeking:

Office Manager

To support our vision being Best on Water, we are looking for a self-driven and highly motivated individual for the Office Manager position.

You will be responsible for office appearance which is the first interface BW has with visitors and business partners. You will also administer vendor agreements for office maintenance, and oversee the post function. You will facilitate and administer company events and be responsible for communication tasks on different platforms, including collaboration with communications team in Singapore. As such this is an important role for the company.


Responsibilities:
• Oversee that the office premises appear in perfect shape.
• Oversee the post function and ensure efficient and cost-effective dispatches to/from vessels and offices.
• Oversee the switchboard and reception and deputize in cases of absence
• Facilitate and administer company events such as lunches, dinners, sport and culture events and other social events.
• Administer service agreements such as canteen, janitor, landlord etc.
• Ensure effective cost control of common office costs and posting invoices
• Administer and being the point of contact for hotel agreements and corporate travel agent
• Ensure close co-operation with the other Managing Directors globally in order to provide a holistic and effective support to management.
• Maintain up to date fire warden list and run fire drills.
• Ensure office has required number of first aiders, organize courses and manage first aid equipment.
• Collaborate with communications team in Singapore and contribute with information and articles from the Oslo office.
• Manage the weekly newsletter Looking Ahead for Oslo office.
• Complete other administrative tasks when needed in order to ensure that the HR & Admin team at all times provide appropriate services to staff and visitors.


Qualifications:
• Bachelor in business administration or similar
• 3-5 years relevant working experience.
• Experience in arranging events and information processing
• Good IT skills – Microsoft Office 
• Excellent command of English language
• Applicants must qualify for permanent residence permit for work purposes in Norway.

• Proven ability to work independently, but with strong teamwork skills.
• Well organized
