Administrative advisor at the Arctic Council Secretariat
The Arctic Council Secretariat (ACS) serves and supports the work of the Arctic Council, and particularly the successive Chairships of the Arctic Council. The ACS is currently composed of 14 employees from the Arctic states, and is based at the Fram Centre in Tromsø, Norway http://www.arctic-council.org
The Arctic Council Secretariat is strengthening its team and is now looking for a full-time administrative advisor.
Description and duties
The Administrative advisor will under the direction of the Head of Administration have the following tasks and responsibilities:
Provide general administrative support including tasks related to finance, accounting, refund of VAT, purchases and reporting requirements related to funding agreements.
Provide HR support in connection with recruitment processes including on- and offboarding of staff and communication with appropriate Norwegian authorities.
Be responsible for ACS archives and archiving routines.
Support the Chairship team with the planning, preparations and logistical coordination for various Arctic Council and Chairship meetings, conferences, and other events as relevant.
Be responsible for monitoring the AC Chair and ACS inboxes, coordination of general ACS correspondence, and maintenance of distribution lists.
Carry out other tasks as relevant in support of the ACS Work plan
Ideal qualifications for this position include:
Relevant university degree at minimum bachelor’s level
Previous experience with administration, finance, document management/archives, HR, service and support
Strong organizational skills and ability to multi-task and prioritize
A solutions-oriented mindset and a flexible, service-minded disposition
Strong English language capabilities, both oral and written
Eagerness to work in an international and multilingual environment
In addition to skills and experience mentioned above, the following will be considered an asset:
Proficiency in a Nordic language
Experience with SharePoint
Requirements
In accordance with the ACS Staff Rules, article 5.2, applicants for this position MUST be a citizen of one of the eight Arctic States (Canada, Kingdom of Denmark, Finland, Iceland, Norway, Russia, Sweden and USA). This is an absolute and non-negotiable requirement.
Terms and remuneration
Appointments to the ACS are made for a four-year contract with a six-month probation period. Contracts may be extended for up to four additional years (eight in total) if in the interest of the Arctic Council.
We offer a competitive remuneration package including moving allowances. Membership in the Norwegian social security scheme as well as a private pension scheme will be provided. The position is categorized in the General staff category, and the annual salary will be in accordance with the salary levels in the ACS Staff rules and based on professional experience and qualifications.
